 from Set Up Events

9/5/08 - Patriots Half - Cancelled due to Hurricane Hanna
We deeply regret to announce that the Patriots Half scheduled for Saturday morning at 7AM has been cancelled due to Hurricane Hanna. All athletes currently registered for this event will receive a 50% credit for the 2008 Patriots Half. The Patriots Sprint and International will go on as scheduled for Sunday exactly one hour later. Sprint starts at 8AM, International Starts at 9AM. This just gives us an extra hour of daylight to take care of any hazards on the course.

Why cancel? After meeting with local officials it was decided that to have an event with heavy rain, high winds, and the threat of tornado's and thunderstorms throughout the duration of the event would be completely unsafe for athletes, volunteers, and the municipalites supporting the event. With Williamsburg now in the exact center of the projected path we had to take the only prudent path which was to cancel the event. We know how much everyone has looked forward to this race and how much time and money you have invested in coming to race here. Your dissapointment in this change in the weather and it's effect on the race is not lost on us.

Why the 50% credit for next year? In a nutshell, everyone has to get paid. Everything from shirts, food and water bottles to site rental fee's and municipal support all have either been paid or have to be. While we regret that we cannot give a 100% refund of your entry fee, we are deviating from our standard policy of NO REFUNDS within 2 weeks of the event. As was mentioned earlier, we have A LOT of gear staged for tomorrows race that will now sit in storage for a long time. Basically, everyone that registered for this event will be sent an email in December with a discount code to use for the following year.

Thanks for bearing with us through this unfortunate turn of weather and thank you for racing with Set Up Events.

Subject: Patriot's Half cancelled - what now?

Cancelled - I'm bummed!  I've worked all summer toward this event.  And I'm out $150 too!  Why doesn't Set Up Events have insurance to cover a cancellation?  The money's spent - will I get my tshirt and other swag?

And why isn't at least being able to run the International distance an option (still on for Sunday)?

Anyone have any suggestions for a still-available HIM somewhere in driving distance of Virginia this fall?

Aargh.  Grr.  Sigh.

Delaware Diamondman is Sunday, but the bike course is only 39 miles this year. SavageMan in Western Maryland is also still out there.

Diamondman registration is closed.  I have an email into the RD about whether they could open it in for us.

The website says they have onsite registration tomorrow 1-4.

Did you get out of your Comfort Inn reservation ok? The website says I am past the deadline.

Delaware Diamondman is Sunday, but the bike course is only 39 miles this year. SavageMan in Western Maryland is also still out there.

According to the news on Piranha's website yesterday 9/4, they were able to go back to the full distance (link: http://www.piranha-sports.com/Page36.aspx)
------------------------------------------------
Full Half Bike Course Back for Delaware Diamondman Triathlon
Dear Athlete:
After meeting with police officers and conducting a thorough review of the course for logistics, safety, traffic control, officer visability, etc. - we were able to adjust the course so that it is now back to the FULL Half distance.

Please see updated information in the athlete guide by clicking here.

Stay fit and see you at the races!!
--------------------------------------------------

Online registration is closed but there still might be late registration slots available on site tomorrow. Of course, Hanna will be affecting that area as well around then.

BTW, Savageman is a tough HIM with hills. Check out the event at http://www.savagemantri.org/

Especially check the bike section out and the caution about your bike. They actually recommended before last year's event to reconsider using tri bikes due to the technical nature of the course. You decide.

I saw pictures from the swim last year and it was very funny cuz the fog was very thick and you couldn't see the buoys.

My sympathies to all here about the HIM being cancelled. Hope you can adjust.

Looks like I was wrong about Diamondman being a 39 mile bike, they've since come up with a 56 mile course. This is sounding more and more like what I am doing.

I did this last year and it's a good flat race, very fast. Cotton tshirts though, strangely enough.

Just remember there is a good chance that most swims this weekend will probably cancelled due to debris and runoff..  so any race you do this weekend even on sunday could end up being a du

That would suck. Maybe since Diamondman is in a pond, it won't be as bad.

Bummer, that certainly plays in the decision. The swim is the best part of a tri. Thanks for the info.

I'm sticking to my local self-race (Hanna-man) due to the risk of swims being cancelled at formal races.  I'm not going to pay last minute diamond-man registration just to do a du.

I called comfort in on Thursday evening and they said they would not charge the penalty if the HIM was cancelled for a last minute cancellation on my room.  When I called this morning to tell them my HIM was cancelled, they were very nasty in reminding me they had a 48 hour cancellation policy, couldn't care less about the man I spoke to last night or the general manager named Nancy (the receptionist said "well I'm not Nancy"

She did confirm I would not be charged, which is all I really cared about.  But if you want your money back I would CALL not do it online.

Thanks, yeah they took care of me on the phone and didn't fuss with me. Glad I didn't get your POC.

Have a good training day out there. I haven't decided what I am doing yet.

I have signed up for the Duke Liver Center Half in Raleigh, NC next weekend (Sept 14).  It is a difficult course.  I am in no way trained for the hills, but at this point I just want to be able to complete a 70.3.  I don't want to my training to be for nothing.

Here's my correspondence with the RD for Diamondman (bottom line - no promises about having the full 70.3, or getting in... although there's a chance for both)...

We hope to have packet pickup tomorrow from 1 to 4.  But have to see how wind and weather holds up for safety, etc.  However, we will allow up to 10 or so sign ups on race morning.  First come, first served.  Go to this link http://www.piranha-sports.com/Race10.aspx and select LATE REGISTRATION FORMS – print out, bring with you, etc.
We hope to also post on our website for updates about packet pickup on Saturday, etc.  Check tomorrow morning and frequently at www.piranha-sports.com.

Niel,
I know it’s very last minute and I’m sure you’re very busy, but is there any chance of letting Patriots Half (70.3 race by Setup Events in Williamsburg scheduled for 9/6) participants do late registration and participate in Diamondman even though it is closed?  As you may know, Patriots was cancelled this morning due to TS Hannah.
Having participated in multiple Piranha Sports events over the past two years, I thought it wouldn’t hurt to ask!
Thanks for your consideration.

Thank you for keeping us updated. I guess I'll keep informed and play it by ear. Let me know if you're going to be up there. I'm on the other side of Baltimore from you.

I see that the swim for the Patriot's Sunday races is already cancelled. At least we didn't drive down there to have 'sort-of' a half, huh?

And the North Face 50k got cancelled too. Had a buddy doing his first ultra there.
