I will not name names, nor try to badmouth anyone...

DT & I have our next race on July 4th (next race to promote/direct)  It's a cycling road race that we took over from a local team who is the "host" and we are the "race directors"  I'm learning along the way because I haven't ever worked - or even been to - a cycling race. (However, the logistics are very similar to other races...) The cost for an entry is along the lines of a 5K/10K - $30ish. At first I was like - whoa! that's cheap! Then DT explained to me that racers could do a few races a week...so I understood.

I digress. So because the entry is so low and because we are donating proceeds to charity - and because of who I am - I want to reduce the costs as MUCH as possible. I won't get into the prize fiasco...one specific thing that is irking me.

Last year (this is the 37th year for the race) the race purchased lunches for the volunteers. Which isn't abnormal - the volunteers make the race happen in my mind! They are there all day - so the LEAST you could do is feed them.
They bought 36...again...not out of the ordinary. However...they bought all 36 of them for $10 each from one of the "sponsors" - who, in turn, gave them a $100 gift card.
I just talked to the guy this morning and he is willing to reduce the boxed lunch price by "only" providing sandwiches for $5 each. If we buy lunches from him he'll give us 2 gift cards for $50, if we don't we only get 1 gift card for $50. DT says "it's just business"...but WHY in the world would it make sense for us to spend money to get a sponsorship??

The cycling team wants us to use a "local" place - but couldn't I get enough food from Subway for like $100-$150!?!?

I would go ahead and give the volunteers a "lunch" not just a sammich.

Sounds like the sponsor is willing to work with you, so I don't really see the issue. And if the cycling team wants a certain local shop, why not go with that?

You may be able to get a cheaper lunch at subway but you still need to buy the prizes for the premes and payouts. You'll get better pre reg with a better prize purse.

Cycling races don't operate with a finisher medals,you'll just have a bunch of po'd bike racers, the fields will expect cash payouts & various premes to heat up the action..this way you get a few merch prizes and make a local co happy if you ever have to do battle with the city over permits.

Actually, we're going for more cash payouts and less merchandise, and it'll cost less in the end.

That said, I'd keep checking around. I always used to donate food for some events that I liked. The cost on my end would be in that $100 range for 36 people, but would include chips, cookie, fruit or the like.

Thanks - that was kind of what I was looking for...suggestions.

As DT mentioned - we are doing pretty well for prizes. I've decided to give cash out, to top finishers, vs. the tires and tubes they were giving out last year...Primes were OK in - we're adding a few more and a few more....I'm looking to go to the local Costco and see what I can drum up. If I can get "etc" - chips, cookies, and such - I can BUY the sandwiches from the local place.

The team wants a local merchant - but there are probably 20ish restaurants along the 4 block race route. I guess I'm looking to one that might not charge me as much. Like I said - I know volunteers make an event and I want to do as much as I can...but paying a few hundred to get back $100 just doesn't add up. I'd rather buy a $50 gift card from the place and get the food elsewhere.

If you can get ONE of those 20 restaurants in you'll get 4-5 easy. Target one that you think will donate, even if it's just chips. Once they commit, go to the others and say "Charley's Chip House is in for chips, care to do the sandwiches?" and so on down the route. It might be an easier sale to hit a few up for parts of the meal rather than one doing the whole thing.
